Library Card Applications, Notifications for Hold Items, Friends Membership, etc.

Library Card Applications
-If a patron writes their email address down on the app, please make sure they mark whether they would like to receive text/email messages or reminders, and if they would like to receive the RPL newsletter. Some applications are being turned in with no check mark. Let’s follow up on this before we let the patron walk away from the Circ Desk.
 
 
Notifications for Hold Items
-When patrons come to pick up their holds, take a moment to ask them if they would like to switch to email or text notifications which may alert them more quickly than a phone call.
 
 
Friends Membership Payable by Credit/Debit Card
-Edward has added a Friends Membership to the dropdown charges menu. If a patron would like to pay for their membership by credit/debit, please write their Patron ID # on the white envelope for Cyndii to confirm.
-Treat the receipt just like you would any other Credit/Debit transaction.
 
 
Remotes for Meeting Rooms
-We now have a projector for the Hurley Rm. Patrons using the projector for either room must come to the Circ desk to check out the remote. They are on a designated shelf, each in its own case. Each remote has a barcode/RFID and is checked out for one day only.
 
 
Credit/Debit Phone Orders
- Paying for Lost Items over the Phone
 
1.       Phone Orders
-         Select Phone Order (F3).
 
-          Enter the Account #, then green button to proceed.
 
-          Enter the Exp. Date (MMYY), then green button to proceed.
 
-          Enter Amount (minimum of $2.00), then green button to proceed.
 
-          Enter the V-Code (3-digit security code printed on the back of the card).
 
-          You will be prompted to enter the customer’s address PLEASE VERIFY THEIR CORRECT MAILING ADDRESS.
 
-          You will be prompted to enter the customer’s Zip Code.
 
-          A receipt will print with Phone Order at the top. THIS COPY GOES IN THE CASH DRAWER AS USUAL.
 
-          You will be prompted to print a duplicate receipt.  Select Yes (F1) AND ATTACH TO THE STAMPED ITEMIZED RECIEPT, PLACE IN ENVELOPE AND MAIL TO THE PATRON.

-Please add the Board of Elections website to your favorites/desktop so that you can quickly help answer those questions that are inevitably coming soon to a Info Desk near you.

Children’s DVD spine labels are changing. No more Call Numbers. If you find a spine without a call number, do not send it to Tech.

Placing Items Going to Repair Tech Services On Hold

If you need to send an item to Tech that a patron (or staff member) wants, please place a hold on the item after you make it “Sent to Tech”. This places that patron at the top of the requests queue.

If the item is not on file, you may write the person’s name and card number on the slip so we can place the hold after it is returned to the system.

Patrons holds and overdue fines

When a patron has a hold and their overdue fine is too high that they are unable to check out, do not hold the book for them longer than the normal hold-to-date just so they can read it in the library. We can put the book on the regular shelf for them to pick up and read but we can't have it staying on our hold shelf.

Hold Shelf Order

Please put patrons holds in order by last name. We have been finding some holds not in the correct order and it makes it difficult to find them.

MCC goes by MACC which goes before McDonald.

Phone Number Wrong

If a phone number is wrong on the patron's account, please send out a yellow postcard so we contact them. Take the phone number out of the phone number area and put it in the comment area so we may verify the information.

Postcards for Holds

If we are unable to reach a patron after calling them twice for their hold, please send a yellow notecard explaining we have their hold and how long we will hold it for them. On the side of the patron's hold slip, put "card sent" with the date it was sent underneath. In the middle of the hold slip put the "hold to date" which is one week from the day yellow notecard was mailed.

If the phone number has been disconnected or the voicemail is not set up, please take the phone number out of the phone area on the account and put a message on the account that we need the patron's phone number.

ILL Hold Procedures

When an ILL is on hold for a patron: please mark in the white notification slip if you have left a message on the answering machine or with the patron. Also, put the date the patron was notified with your initials. The ILL due date varies with each check out and is shown on the pink slip which needs to stay with the item.

The due date for the ILL must be overriden before checking out.

After holds are called and dated, please place on the notified reserves shelves section by patron's name alphabetically, this includes staff holds. Thanks!

Please only toggle specific items if they are available or you have it in hand. If all copies are checked out for a specific item you do not need to toggle to place it on hold. Thanks!

Disconnected Phone Numbers

When making calls for holds and the patron has a disconnected number, please take the phone number out of the box and place it in the comment section with a note saying that the phone number is disconnected, the date, and your initials. Thanks.

Toggling Specific Items for Holds

If you are placing a hold on a specific item and you have it in hand or it is available at another branch, you may toggle it. When placing a hold, choose Item Specific, find the correct barcode #, select the item, and then place the request. This should only be done if you need the specific item. Otherwise, you should always choose First Available.

Hyphenated Last Names

Patrons that have hypenated last names like "Henderson-Braswell" should be shelved under "H" on the hold shelf.  Patrons that have nicknames for their first name will have (parenthesis) around the name.

Change Date on Hold Slip

REMEMBER:  It is very important to change the "hold to date" on a hold slip if a patron calls in and you tell them we will hold it an extra day.
